Process Improvement of Stock Control

Process for managing a simple warehouse

An organisation was establishing a simple warehouse with just a few hundred items. They need to be able to manage their stock and ensure they didn’t run short. They first looked at a Xero addin for stock management. However, for the size of the company, the quantities of stock and the complexity required, the costs were excessive.

The solution

We developed a simple list of items, the quantity in stock and the minimum quantity required to be in stock.

We then developed a phone app that allowed warehouse staff to update the stock quantities as they put product on the shelf or took it off the shelf.

If the quantities in stock dropped below the prescribed minimum quantities a workflow would notify the manager and purchaser and provide a link to a list of all items which were currently in danger of dropping below the prescribed levels.

The solution is cloud-based, fully audited, accessible to multiple users and any types of internet-enabled devices.

The company makes different products by assembling these components. The use of a Product category in the Stock Management application allows us to see what parts are used for which products.

The phone app has a search field which searches both part numbers and the product name, so the warehouse staff can find the product they are looking for quickly and easily.

Costs

From the initial discussions to the final delivery of the solution including the phone app was no more than a couple of days’ work. So much cheaper than the Xero addin and its proving quite effective.
